Replying with anger makes you look unprofessional. It proves the angry customer right. Wait an hour. Cool off. Then write the reply.

You don't have to apologize for your work. You have to apologize for their experience.
Start with: "Hi [Customer Name], thank you for the feedback. We're sorry to hear your experience didn't meet your expectations."

Don't list all the reasons they are wrong.
Briefly state your commitment to quality.
"We pride ourselves on 5-star service, and we clearly missed the mark here."
This shows you have high standards. It doesn't admit fault for specifics. It reinforces your brand.
This is the most critical step.
Never have a back-and-forth argument online. Get the conversation into a private channel.
End your reply with: "We want to make this right. Please call me directly at (XXX) XXX-XXXX so we can resolve this for you. - [Your Name]"
